Privacy policy

Run My Lot is software for used-car dealerships, run from Canada. It gives a dealership an admin for its inventory and leads and, if it wants one, a public website. This page covers three things: this website, the accounts dealerships hold with us, and the Google Calendar a dealership can connect.

Shoppers on a dealership’s website

A dealership’s website runs on our software, but the dealership decides what it collects there and why. When you send a message, apply for financing or book a test drive on a dealership’s site, that information belongs to the dealership and its own privacy policy applies. We store and deliver it for them and do not use it for anything of our own. Questions about it are best sent to the dealership.

This website

The contact form is the only place this site asks for anything. It collects:

  • your name and your dealership’s name
  • your email address, and your phone number if you give it
  • your city and province, if you give them
  • your message

We use it to reply, to set up your account if you ask for one, and to keep a record of the conversation. The form may run a check from Cloudflare to tell people from bots, which looks at your browser and IP address for that purpose.

The site also counts its visits, without cookies. For a visit it records the pages and sections that were viewed, the links that were clicked, which questions were opened and how far the contact form got, though never what was typed into it. It also records the website that linked here, the browser and type of device, and the country, region and city our hosting provider reports for the connection.

Your IP address is not stored. It is turned into a code that changes every day, so a visitor can be counted within a day and cannot be followed from one day to the next. The visit’s own identifier is kept only in the open tab and is gone when the tab closes. A browser that sends the Global Privacy Control signal is not counted at all. None of this is shared with advertisers, and the site sets no advertising cookies.

Dealership accounts

When a dealership has an account, we hold:

  • the name and email address of each person who signs in
  • the dealership’s address, phone numbers, hours and billing address
  • what the dealership puts into the admin: vehicles and photos, messages, financing applications, appointments and its legal pages

Card payments are taken by Stripe. Card numbers go from your browser to Stripe and never reach our servers; we see the card’s brand, its last four digits and its expiry date.

Google Calendar

A dealership can connect a Google Calendar so that bookings appear on it and so that customers are not offered times the dealership is busy. Connecting is optional and is done by the dealership’s owner from Settings.

What we access

  • We create, change and delete the calendar events for bookings made throughRun My Lot.
  • We read the start and end times of events on the calendar and whether each one is marked busy or free, to work out which times are open.
  • We read guests’ responses on events, so that a customer who declines an invitation cancels the booking it belongs to.

We do not ask Google for the titles, descriptions or locations of events the dealership created itself, and we store nothing about those events.

How we use and keep it

  • Calendar data is used only to provide booking to the dealership that connected it.
  • It is not sold, not used for advertising, and not used to train artificial intelligence or machine learning models.
  • It is not shared with anyone, other than being sent back to Google to keep the calendar up to date.
  • The access Google grants us is stored encrypted. Disconnecting the calendar in Settings revokes that access and deletes it from our systems.

Run My Lot’s use and transfer to any other app of information received from Google APIs will adhere to theGoogle API Services User Data Policy, including the Limited Use requirements.

Who else handles the data

We do not sell personal information. These companies process it on our behalf:

  • Cloudflare hosts the websites and runs the bot check on forms.
  • Supabase hosts the database, file storage and sign-in.
  • Resend delivers the emails the platform sends.
  • Stripe takes subscription payments.
  • Google provides maps and a dealership’s public rating, and the calendar connection described above.

The database is hosted in the United States, so information may be stored and processed outside Canada.

How long we keep it

  • Enquiries from this site are kept while we are in touch with you, and deleted on request.
  • Account data is kept for as long as the account is open.
  • A closed account can be reopened for 30 days. After that the dealership and its data are deleted.

Your choices

You can ask to see the personal information we hold about you, to have it corrected or to have it deleted. Send the request through the contact form. If you signed in to a dealership’s account, the dealership’s owner can also remove your login.

The rules for using the service, including billing and closing an account, are in theterms of service.

Changes

When this policy changes, the new version is posted here with a new date.
